Registrar

 

In relation to functions of the Registrar

1.     Assists in the planning and implementation of general school policies

 

2.     Assists in enforcing statutory and school regulations pertaining to admissions, enrollment, crediting, transfer, promotion and graduation

 

3.     Oversees concerns in relation to student admission, enrollment, student accounting, document safekeeping / preparations and the like

 

4.     Supervises the release of certification of grades, transfer credentials and diplomas and assumes full responsibility for all documents

        released by the office

 

5.     Verifies and authenticates documents released and received by the office

 

6.     Ensures the proper and effective safekeeping of all student records

 

7.     Oversees the creation, updating, maintenance and disposition of student’s academic records

 

8.     Assists in the preparation of the school calendar, brochures and other announcements

 

9.     Disseminates information on new Department of Education rules and regulations or requirements on a regular basis

 

10.   Maintains good public relation with other schools

 

11.   Serves as the official representative of the school in government related endeavors

 

 

In relation to the unit

12.   Prepares and implements well-planned unit programs

 

13.   Attends to the daily operational requirements of the unit

 

14.   Attends to the preparation and economical utilization of the annual unit budget

 

15.   Ensures the continual development and improvement of the unit as prescribed by accrediting institutions and government bodies

 

16.   Ensures the implementation and continuous updating of the Standard Operating Procedures of the unit

 

17.   Handles confidential concerns of the unit and/or a client effectively

 

18.   Executes fair and just decision making

 

 

In relation to subordinates

19.   Plans and coordinates effective training programs, seminars and other activities for the members of the unit 

 

20.   Oversees the performance of individual personnel within the unit

 

21.   Conducts constructive and recorded unit and/or departmental meetings regularly

 

22.   Shows impartiality in the hiring, retention and dismissal of subordinates

 

23.   Enforces fair discipline for non-adherence of school policies

 

24.   Ensures the proper orientation and up-dating of all members of the unit regarding school policies and programs

 

 

In relation to the ESS Management

25.   Attends to the preparation and completion of a well-documented and organized  accomplishment report 

 

26.   Performs duties assigned by top management

 

27.   Participates in the decision making requirements of the school during meetings and assemblies

 

28.   Ensures the proper coordination of unit activities and programs with the concerned heads

 

 

Counselor

 

In Relation to the School Administration

1.     Implements the Guidance Program as approved by the Directress

 

2.     Coordinates with the academic supervisors the implementation of guidance activities

 

3.     Prepares quarterly accomplishment reports

 

 

In Relation to the Faculty

4.     Coordinates with the faculty regarding the actual implementation of guidance activities

 

5.     Provides immediate and accurate reports or feedback on important matters concerning the students

 

6.     Holds documented conferences with teachers to discuss matters concerning their students and documents them

 

7.     Provides current information that would help the faculty address the different needs of students, parents and teachers alike

 

 

In Relation to the Parents

8.     Participates in a continuing orientation program for parents of new students

 

9.     Provides parents with updated information on parenting and other materials that will enhance their relationship with their children

 

10.   Provides parents with reports and feedback regarding matters concerning their children

 

11.   Holds documented conferences with parents to discuss matters concerning their children

 

 

In Relation to Guidance Services

12.   Screens and processes student applications for admission according to the policies of the school   

13.   Implements a continuing orientation program for new students                     

 

14.   Participates in the orientation of faculty on guidance services

 

15.   Conducts documented individual and group counseling                         

 

16.   Attends to and/or refers cases that need special handling

 

17.   Plans the testing program with the Unit Head according to ESS requirements 

 

18.   Administers tests to student and personnel according to the prescribed conditions

 

19.   Disseminates information to the members of the academic community regarding important testing concerns

 

20.   Enforces and promotes proper test administration and use of testing materials

 

21.   Scores and interprets test accurately

 

22.   Prepares and submits comprehensive reports promptly to the Unit Head, the Directress and other authorized personnel

 

23.   Disseminates immediate and accurate test results using appropriate forms to students, parents and teachers

 

24.   Assesses testing materials, evaluates their use and gives appropriate recommendations to the Unit Head

 

25.   Prepares and conducts experiential learning experiences that effectively address students’ needs

 

26.   Maintains a complete and updated individual students’ cumulative record

 

27.   Provides students with updated information that contribute to holistic development

 

28.   Conducts follow-up on currently enrolled students

 

29.   Assists in the placements of students in other schools

 

30.   Conducts research utilizing available data and submits the report to the Unit Head

 

31.   Participates in the evaluation of the different guidance services

 

 

In relation to General Office Procedures

32.   Accepts and implements tasks delegated by top management and the Unit Head

 

33.   Maintains a professional attitude in work, manners and attire at all times

 

34.   Maintains the orderliness, cleanliness & presentability of the office and surrounding areas

 

35.   Attends to all inquiries and provides accurate information about the unit and the school

 

36.   Receives all visitors graciously and responds to their needs immediately

 

37.   Regulates the use of office supplies and promotes proper use and economy

 

38.   Maintains the confidentiality of classified information and records at all times

 

39.   Renders assistance in all unit activities

 

40.   Submits well organized work on time

 

 

Librarian

 

In relation to Instructional Media Unit

1.     Maintains order and discipline in the reading area and issues misconduct slips to users violating house rules and regulations

 

2.     Attends to the preparation of unit reports and documentations

 

3.     Provides research assistance to students and teachers

 

4.     Ensures the proper supervision and preparation of a well-drafted and organized programs for the Library Club

 

5.     Handles formal and informal teaching responsibilities (library skills)

 

6.     Supervises IMC student assistants

 

 

In relation to Books and Periodicals

7.     Assists in the selection and acquisition of books and periodicals that supports the educational goals of the school

 

8.     Ensures the timely and proper circulation of information regarding new acquisition of books and periodicals

 

9.     Attends to the -

a.     mechanical processing of books:

§  collating of newly acquired books

§  stamping of ownership

§  accessioning

§  labeling

§  plastic covering

 

b.     technical processing of books

§  cataloging

§  classifying

 

10.   Conducts library orientation for new employees, parents and students

 

11.   Prepares an annual inventory of books and other assets of the unit

 

12.   Ensures the immediate repair of damaged books and periodicals 

 

13.   Attends to the shelving and shelf-reading of books and periodicals at the start of the day

 

14.   Ensures the maintenance and up-dating of the Card Catalog, Shelf-list and Inventory-list

 

 

In relation to General Office Procedures

Sports Varsity Coordinator

 

In relation to Sports Management 

1.     Assists the school’s Physical Education department in establishing a formidable sports program

 

2.     Creates short and long term plans for the school’s sports program/s

 

3.     Represents the school in sports related activities and the like

 

4.     Oversees the condition of the sports facilities and equipment of the school and recommends improvements and developments

        accordingly

 

5.     Manages the sports development budget equitably

 

 

In relation to the School Varsity 

6.     Supervises and manages the athletes of recognized varsity teams ensuring eligibility to play, competitiveness and academic standing

 

7.     Coordinates with coaches and oversees their training programs

 

8.     Promotes the varsity program and ensures continued player transition

 

9.     Supervises competitions and team practices ensuring the well-being and the good performance of athletes and coaches

 

10.   Screens, recommends and coordinates competitions with concerned personnel and offices

 

11.   Supervises and attends to competition and training requirements  

 

 

In relation to General Office Procedures

12.   Accepts and implements tasks delegated by top management and the Unit Head

 

13.   Maintains a professional attitude in work, manners and attire at all times

 

14.   Attends to all inquiries and provides accurate information about the sports program and the school

 

15.   Graciously attends to coaches and athlete’s needs and requirements

 

16.   Maintains the confidentiality of classified information and records at all times

 

17.   Submits well organized work on time

 

 

Community Linkages and External Affairs

 

In relation to the Community Linkages Program

1.     Prepares and implements well-planned community programs for both students and employees of the school

 

2.     Attends to the daily operational requirements of the school program

 

3.     Attends the preparation and economical utilization of the annual program budget

 

4.     Ensures the continual development and improvement of the school program as prescribed by the school president and religious and

        civic communities

 

5.     Plans and/or conducts training programs and activities to update and enhance the awareness of students and personnel alike regards

        to social and civic consciousness

 

6.     Prepares and submits a comprehensive annual accomplishment report

7.     Maintains an updated and complete record of all the CES activities

 

8.     Conducts constructive and recorded meetings with concerned personnel and/or students before a community activity

 

9.     Executes fair and just decision making on behalf of the school during outside transactions

 

10.   Prepares and disseminates information regarding programs, projects and related activities of the Community Extension Service

 

11.   Coordinates the collection and distribution of donations for community and national programs

 

12.   Organizes the annual scheduling of visitation to assigned social institutions or communities by students and personnel

 

13.   Prepares arrangements for the transportation, accommodation and the like of students and personnel during visitations and other

        external activities related to its functions

 

14.   Ensures the proper evaluation of the programs and activities

 

15.   Ensures good relationship with external community wherein programs are conducted
